Document Storage
Rate confirmation PDFs you try in the public demo are processed in memory, for extraction only, and are not saved.
When you add a load inside your FreightFlow workspace — by uploading a rate confirmation or forwarding one to your inbound parsing address — FreightFlow stores the original PDF and the extracted load details in its database, scoped to your workspace. Proof-of-delivery photos uploaded by your drivers are stored the same way. These files are kept so you can review the original Rate Con alongside each load and generate invoices and factoring packets, and are only accessible to signed-in members of your workspace.
Data Transmission & Security
Extraction requests are sent to our API endpoints over encrypted HTTPS/TLS connections. Document text is passed to a third-party AI model (Google's Gemini API) solely to extract the fields shown in your dispatch workspace — load number, rate, stops, equipment, and similar operational details.
This data is submitted through Gemini's API tier, which is contractually distinct from Google's consumer-facing products: API-tier requests are not used to train Google's public or general-purpose AI models. FreightFlow does not use your documents to train any model, public or private.
User Data Ownership
Every field FreightFlow extracts from your documents — rates, stops, equipment details, detention terms, and everything else — belongs solely to you, the carrier tenant. FreightFlow does not claim any ownership interest in your load data, broker relationships, or driver information.
When you sync a load, it is written directly to the Google Sheet you configured — a spreadsheet you create and control, shared only with the service account you explicitly authorize. FreightFlow does not retain a separate copy of synced data in its own systems, and does not access your spreadsheet for any purpose beyond appending the rows you trigger.
What We Do Collect
To operate your workspace, FreightFlow's servers handle: the content of a Rate Con PDF for the duration of a single extraction request; the tenant/subdomain configuration you or your administrator sets up (company name, Google Sheet ID, carrier identity fields); and standard technical logs (timestamps, error traces) used to diagnose and improve reliability. We do not sell, rent, or share your load or driver data with third parties for marketing purposes.
Third-Party Services
FreightFlow relies on a small number of third-party providers (sub-processors) to operate: Google's Gemini API for document extraction, the Google Sheets API for syncing data to your spreadsheet, Stripe for subscription billing and payment processing, and Vercel for application hosting. Each is bound by its own provider-level data handling terms in addition to the commitments described here.
Payment details (card numbers, billing address) are entered directly into Stripe's own hosted checkout and are never transmitted to or stored on FreightFlow's servers — FreightFlow only receives a subscription status and billing reference from Stripe, never raw payment card data.
Cookies & Analytics
FreightFlow does not currently use tracking cookies or third-party advertising analytics. Any future addition of analytics tooling will be reflected in an update to this policy before it takes effect.
Your Rights
You may request details on what data FreightFlow holds related to your account, and may request deletion of your workspace, including its stored loads and documents, at any time. Data you sync to your own Google Sheet stays under your control independently of your FreightFlow subscription status.
Changes to This Policy
We may update this policy as the product evolves. Material changes will be reflected by updating the effective date above. Continued use of FreightFlow after a change constitutes acceptance of the revised policy.
